On this page you will find information on how to become a registered driver with the University of Calgary and how to reserve and use both UCVM and Central vehicles.

Steps to becoming a registered driver

If you are new to driving with the University and/or UCVM, before getting access to either fleet, you will need to become a registered driver with the University.

Complete the Defensive Driving Course (sign up here) and required abstract forms (will be emailed)

Complete the Cheqroom app training.

Frequently Asked Questions and Troubleshooting

Where are the vehicles located?

  •  At the Foothills campus the vehicles are on the surface service vehicle parking lot east of the CWPH building.
  • At the Spyhill campus the vehicles are located north of the CSB building in a small parking area outside the small animal prep area.

Where do I pick up the keys? 

  •  At the Foothills campus, the keys are in a lock box outside CWPH 2D17.  The combination to the lock box is 1379E.  Enter in the code, then turn the dial to the right to open the box.
  • At the Spyhill campus, the keys are in a lockbox at CSB central reception on the wall near the unoccupied cubicle with incoming/outgoing boxes. The combination to the lock box is 1379E. Enter the code, then turn the dial to the right to open the box.

Am I responsible for filling the vehicle with gas?

  • Yes, you are responsible for gas costs and the vehicle needs to be returned with a full tank of gas. The only exception is when there is less than 1/10 of a tank used, top ups are not required in this instance.

What do I do if I pick up the vehicle without a full tank of gas?

  • Take a picture of the gas tank indicator and send it to central support (ucvmsupport@ucalgary.ca). If you filled the tank during your checkout, send that as well, you will be reimbursed for the cost of the gas.

Am I responsible for getting a car wash for the vehicle?

  • The vehicle must be returned in a clean and tidy state. If during your use the vehicle becomes dirty, you are responsible for cleaning it before returning it.  There is a car wash at the motor pool. (info needed)

What do I do if I notice something wrong with the vehicle?

  • Please write a comment on your checkout explaining what is wrong with the vehicle and send an email to central support (ucvmsupport@ucalgary.ca).

Do I need to record my kilometers?

  • Kilometers are not used for billing purposes but recording the kilometers on the vehicle in your checkout is encouraged and appreciated so we can time preventative maintenance better.
